Vendor Information

SET UP: You must be set up and ready to operate by 10:30 am on Friday, October 9th. We can accommodate as early as Wednesday, October 7th based on your request — please indicate this when you apply. Please let us know if your truck will be parked on the Fairgrounds overnight, or if you will be removing your truck nightly. The Fair ends at 4:30 pm on Saturday, October 10th.

All Vendors are required to follow the local Township of Springwater by-laws, including Simcoe Muskoka District Health Unit regulations. Failure to comply with any or all of these regulations will cancel your application. A copy of your Health Department Certificate of Compliance will be required.

STEP #2: We will review your initial application, then send you an email to invite you to participate in our Fair. Every effort is made to have a variety of goods and services, however, there may be more than one vendor providing similar goods and/or services. SECOND REMINDER: “Poutine” is exclusively sold by the midway provider. You are strictly prohibited from including or serving “Poutine” at the Elmvale Fall Fair.

Once you receive an email inviting you to attend, please be prepared to provide the following documents and payment:

• Minimum $2 million Commercial General Liability (Certificate of Insurance)
• Additionally Insured named on the Certificate of Insurance: “Flos Agricultural Society” AND a second certificate in the name of “Township of Springwater” (two separate certificates — request both from your insurance provider at the same time)
• Simcoe Muskoka Ontario Health Unit — Special Event/Farmers Market Vendor Application Form
• Township of Springwater — Refreshment Vehicle Permit
• $250.00 payment via e-transfer — the email address for payment will be provided in your confirmation email. Please do not send payment until you have received a confirmation email from the Chairperson.

NOTE: As a Food Truck Vendor, you are required to supply all tables for condiments and supplies, and any additional electrical requirements needed for your food truck. You are responsible for placing all garbage in the appropriate bins, and it is your responsibility to ensure proper disposal of used grease and oil from the Fairgrounds. You must remain on-site and open for service until 4:30 pm on Saturday, October 10th.

By submitting this application, you agree to indemnify and hold harmless the Flos Agricultural Society, its members, agents and employees from and against all claims, demands, losses, costs, damages, actions, suits or proceedings by any third parties that may arise out of, or be attributed to, all operations performed by or carried out by you, your agents, employees, or servants — where caused by the neglect or willful misconduct of you, your agents, employees, servants, or anyone for whose acts you may be held liable.

All final decisions for accepting a Food Truck/Business will be made by the Flos Agricultural Society, Elmvale Fall Fair. All Vendors are required to follow the local Township of Springwater by-laws, including Simcoe Muskoka District Health Unit regulations. Failure to comply with any or all of these regulations will cancel your application.
